Location: Cardiff,
Hours: Full time, part time considered
Contract: 12 month fixed term contract

About the role:

The successful candidate will be providing essential administrative support to ensure the efficient operation of the office and delivery of large government programmes. The role includes supporting the Senior Manager and employees with organisation, communication and programme management as well as ensuring that all administrative duties are completed accurately and delivered with high quality in a timely manner.

Main responsibilities of the role: 

• Undertake ad-hoc assistance to support large government programmes such as data management and preparation of regularly scheduled progress reports
• Undertake all invoicing activities and related financial administration activities
• Capturing enquiries and establishing new opportunities and projects in our Microsoft Dynamics CRM and SharePoint systems
• Handing enquiries for small business loans
• Coordinating due diligence of loan applicants and preparing loan offer pack
• Managing loan disbursement process and preparing associated summary reports for management
• Organise and schedule meetings, webinars and events
• Answer and direct phone calls
• Maintain and update contact lists
• Other office management duties such as ordering stationery, dealing with correspondence, preparing letters, presentations and reports, health & safety reporting and Fire Marshall duties.
• Provide general support to office visitors
• The role may also involve some direct customer contact, including liaising with energy efficient equipment suppliers and customers of the Carbon Trust’s interest free loan’s scheme for Small and medium-sized enterprises (SMEs) based in Wales

Qualifications and experience (required/desired): 

• Knowledge of office management systems and procedures
• Strong IT skills, incl proficiency in MS Office (essential). Familiarity with other IT packages such as CRM, SharePoint and Agresso / Unit 4 (desirable)
• Excellent time management skills and ability to multi-task and prioritise work 
• Attention to detail and problem solving skills
• Strong organisational and planning skills
• Excellent interpersonal skills
• Proficiency in written and spoken English (essential) 
• Proficiency in written and spoken Welsh (desirable)
• A desire to be part of the growing momentum to help reduce the impacts of climate change on the planet

Salary & Benefits: 

We offer a competitive salary and a performance based bonus. Our hours are 37.5 per week with 28 days paid holiday plus bank holidays and a generous pension scheme.
